The Information We Collect

When you contact us through the website. Our enquiry and quote forms, on the contact page and the quote page, collect your name, email address, telephone number, company name where given, and whatever you write in the message. The quote form also asks about the freight itself: type, weight, dimensions, collection and delivery points.

When you become a customer. To make a customs declaration or move a consignment we need commercial and operational information. That usually includes contact details for people at your business, EORI numbers, commercial invoices, packing lists, and transport details. Where a consignment involves named individuals, for example a driver or a private importer, we process their details too.

Automatically, when you visit the site. Your browser sends technical information including IP address, browser type and the pages you view. Our hosting and security services log this to keep the site running and to block malicious traffic.

We do not knowingly collect special category data. We do not ask for information about health, ethnicity, religion, political views, trade union membership, biometrics or sexual orientation. Please do not send it to us.

Why We Use It, and Our Lawful Basis

Under UK GDPR we must have a lawful basis for each use. Ours are:

Where we rely on legitimate interests, that interest is running a freight and customs business and responding to people who ask us to. We have considered whether this overrides your rights and concluded it does not, because the information is business contact data used for the purpose you supplied it.

The customs and VAT periods are not ours to shorten. Where the law requires us to keep a record, we keep it even if you ask us to delete it, and we explain that if it comes up.

Who We Share It With

We do not sell your data. We share it only where we need to:

Authorities. HMRC and Irish Revenue, when we submit declarations on your behalf. Other border authorities such as Defra or APHA where a consignment requires it.

Carriers and agents. Hauliers, ferry operators and overseas agents involved in moving your consignment, where they need the details to do so.

Service providers who help us run the business. These process data on our instructions under contract:

  • Cloudflare. Content delivery and website security.
  • Microsoft 365. Email and document storage.
  • Google reCAPTCHA. Stops automated spam on our forms.
  • CookieYes. Cookie consent management.
  • Google Analytics. Measures how the website is used. It is configured with Google’s advertising and audience features, so it sets advertising cookies as well as analytics ones. You can decline both through our cookie banner.
  • Google Maps. The map on our contact page.
  • GTranslate. Website translation.
  • Trustindex. Displays our Google reviews.
  • Imagify. Image optimisation.
  • Business systems. Our accounting, CRM and customs declaration software, which hold customer contact details and consignment records as part of running the business.

Sending Information Outside the UK

Some of the providers above are based outside the United Kingdom, mainly in the United States and the European Union. Where personal data is transferred outside the UK we rely on the UK's adequacy regulations, or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

Moving freight internationally also means sending data abroad by necessity. If you export to a country outside the UK, we pass the consignment details to the authorities and agents in that country so the goods can clear.

Your Rights

Under UK GDPR you have the right to:

  • Be told what we do with your data, which is what this page is for.
  • Access a copy of the personal data we hold about you.
  • Correct anything inaccurate.
  • Erase your data, where we have no legal reason to keep it.
  • Restrict how we use it while a dispute is resolved.
  • Object to processing based on legitimate interests, and to direct marketing at any time.
  • Portability, meaning a copy in a machine readable format where processing is by consent or contract.
  • Withdraw consent at any time, where consent is what we relied on.

Cookies

Our website uses cookies. Some are strictly necessary for the site to function and for security. Others are optional, including the analytics and advertising cookies set by Google Analytics, and you choose whether to accept those through the cookie banner when you first visit.

You can change your choice at any time using the cookie settings link, and you can block or delete cookies in your browser settings. Blocking strictly necessary cookies may stop parts of the site working.

Keeping It Safe

We hold your information on services protected by access controls and encryption in transit. Our email is on Microsoft 365 with authentication in place, and our website sits behind a firewall and content delivery network. Access to customer data is limited to staff who need it to do their job.

No system is completely secure. If a breach occurs that is likely to risk your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours and tell you where required.
